Converting bank statements for catch-up bookkeeping

If you're rebuilding months of books from PDF statements, the conversion step should take minutes, not a weekend.

Rebuilding books from a pile of PDFs

Catch-up bookkeeping doesn't look like normal bookkeeping. There's no steady trickle of transactions to code each week. There's a client who hasn't touched the books since last winter, a folder of PDFs, and a deadline that's already been and gone. All of the work lands at once.

The conversion step is where a lot of that time quietly goes. Twelve monthly statements, opened one at a time, copied into a spreadsheet, columns realigned, dates reformatted. None of it's hard. It's just slow, and it's the part of the job you can least justify billing for.

Batch conversion gets rid of that step. Drop in up to ten statement PDFs at once, set the bank, and every transaction across every file comes back extracted, categorised and merged into a single CSV in date order. A year of one account takes two batches and a couple of minutes. From there it imports into Xero, MYOB or QuickBooks like any other transaction file.

The merged output matters more than it sounds like it should. Twelve separate CSVs still leaves you stitching files together before you can do anything with them. One chronological file, with a Source File column on every row, means you can start reconciling straight away and still trace any figure that looks off back to the statement it came from.

Frequently asked questions

How many statements can I convert at once?

Up to 10 statements per batch. A full year of one account is two batches. There's no limit on how many batches you run, and credits never expire.

Can I get everything in a single spreadsheet?

Yes. After a batch conversion you can download one merged CSV containing every transaction from every statement, sorted by date, with a Source File column so each row traces back to the statement it came from.

Will the transactions be categorised?

Every transaction is automatically categorised, and you can correct any category before downloading. On Professional and Business plans you can save a rule so a given merchant is always categorised the same way in future conversions.

What if the statements come from different banks?

That's fine. Each file in a batch has its own bank setting, so one batch can mix Commonwealth Bank, Westpac, ANZ, NAB and the other supported banks. The merged CSV combines them all in date order.

Do I need a subscription?

No. Batch conversion comes with the 350 and 700 credit packs as a one-off purchase, and with the Professional and Business plans. Credits don't expire.
