A closed bank account cannot start a new live feed, but its statements are still usable financial records. Collect the final run of statements, convert any PDF-only records to CSV, import them into the matching bank account in Xero, and reconcile through to the closing balance. Keep the original PDFs as the evidence for your records.

This often appears after a business changes banks, closes a credit card, changes entity, or brings an old financial year up to date. The login and feed may be gone. The statements are what remain.

You do not need a live account to reconstruct its history

The important distinction is between the bank connection and the bank record. Closing an account removes the option of an ongoing feed. It does not make the dated statement transactions unusable.

Create or retain a separate matching account in Xero. Do not mix the old account's rows into the replacement account just because the business moved its balance there. Import and reconcile the old account through its final statement first.

The safe workflow

    Start with the first missing period and include the final statement showing the closure or zero balance where available.

    Keep the account separate

    Use the corresponding old bank or card account in Xero rather than the business's replacement account.

    Prepare structured rows

    Use a bank export if one exists. Otherwise convert the PDF statements to CSV.

    Import using Xero's guide

    Upload the CSV, map the columns and review the proposed statement lines before completing the import.

    Reconcile to closure

    Reconcile the account to its final statement balance before archiving it in Xero.

Checks before you complete the import

  • The old and replacement bank accounts have not been mixed together.
  • The final transfer between accounts appears once on each relevant side.
  • The last statement balance agrees with the closing position in Xero.
  • The source PDFs are retained with the business records after conversion.

What Xero itself documents

Xero's manual-import guide says the standard workflow accepts OFX, QFX, QIF, CSV and QuickBooks formats, recommends OFX where available, and directs people with PDF-only statements towards a third-party conversion service.

Xero also documents manual imports for missing lines and transactions from before a feed starts. Its troubleshooting guide says CSV imports can fail because of invalid dates, spaces, blank lines, corrupt files or incorrectly prepared data. That is another reason to review the file before treating an import as finished.

Frequently asked questions

Can Xero connect a bank feed to an account that has already closed?

A new feed requires an eligible account and bank connection. For a closed account, the practical route is usually to work from the historical statements and import the missing data manually.

Should I import the old transactions into my new bank account in Xero?

No. Keep the old account separate so its statement balance, transfers and reconciliation remain understandable.

What if the final statement is a PDF?

Convert it to CSV, verify the account and balances, then use Xero's documented CSV import process.

Can the Xero account be archived afterwards?

Yes, once the historical statement lines are complete and the account has been fully reconciled. Check Xero's current account-archiving guidance before doing so.
